Medical Release of Information
Releasing health information to other healthcare providers and authorized users is a core, yet necessary function when managing health information. To the untrained eye, disclosing personal health information (PHI) may appear to be a simple task. However, closer analysis of the process reveals that many laws, regulations, policies and procedures must be addressed to ensure that release of information (ROI) is timely, accurate, complete and confidential.
Release of Information (ROI) Processing
As an extension of the your staff, Gilmore Services processes all ROI requests made for paper-based records stored with Gilmore Services, as well as records stored electronically.
How it works:
- Authorization and request is received by email, fax or Rs Web.
- Gilmore Services staff vets the documents; scrutinizing both the authorization and release forms.
- All ROI requests are processed according to the client’s policies.
- The request is entered into Gilmore Services electronic status log that tracks all correspondence from the time of receipt to release of information.
- Relevant release information is retrieved from existing paper or electronic records.
- The file is scanned by character recognition technology (OCR) that enables the requestor to use "keyword" searches, and retrieved information is consolidated and converted into one digital file ( PDF or TIF).
- File is encrypted and uploaded to Gilmore Services secure host server and made available to the requestor via Gilmore Services secure website. To accommodate requestors who cannot receive files electronically, paper copies or faxes are sent.
- Requestor is notified via email when the file is available for download.
