Barcode Technology

Barcode technology is the center of Gilmore Services’ inventory management solution. Barcode technology is one of the foundations of any modern record and storage management software system. Those well-known "bars" and "numbers" you see on practically everything - have literally taken over the world. Barcodes are an automatic identification technology allowing data to be collected rapidly and accurately.

The benefits of using barcodes for automated data collection are simple: speed and accuracy. It has repeatedly been proven that capturing barcode data is at least 100 times faster and more reliable than the standard manual keyboard entry. The end result is a dramatic overall increase in efficiency, productivity, and detailed tracking capabilities for each and every item on which we put our hands.

Container Transmittals – Capture Your Information

Once you have received your assigned barcodes, your office should conduct an inventory of your records before they are picked up by Gilmore Services. (In the event that you would like to use our Value-Added Services to do this for you, don’t hesitate to contact us.) You can either prepare a container transmittal form, which we will provide, or you can login to RSWeb.Net and fill in your own information using our online portal. Container transmittal forms are used to index your records, establish records retention policies and provide ease of future records retrieval and reporting.

Point-to-Point Tracking

When it comes to Point-to-Point tracking of your documents, not only does Gilmore Services utilize the GPS monitoring capabilities on its transport vehicles, but we also use a variety of sophisticated industry-specific portable scanners and printers. This portable computing gives us comprehensive point-to-point tracking of any container, file or tape in our record center, to and from storage, to the transportation vehicle, to your delivery location and back again. Every step of the way, Gilmore Services will know the date and time each activity occurred, and we even have the ability to verify who completed and requested the work. This feature alone gives YOU a complete audit trail of who requested which item and when it was delivered. We even capture the signature of the authorized personnel who actually received it!
